Preparing the Journal Mailbox for Google Workspace

Overview

Incoming and outgoing emails can be automatically routed to a journal mailbox within Google Workspace (formerly G Suite). Archiver connects to this journal mailbox and downloads the emails automatically.

Solution

The process to prepare the journal mailbox for Google Workspace is covered into two steps:

  1. Configuring a new journaling mailbox in Google Workspace
  2. Configuring Archiver

Configuring a new journaling mailbox in Google Workspace

Archiver can be configured to work with Google Workspace as follows:

  1. Log in to  Google Workspace and create a new mailbox to act as journaling account. For example, journal@mycompany.com.

  2. Log in to the newly created mailbox and go to Settings > Forwarding and POP/IMAP > IMAP Access.

  3. Click Enable IMAP.

  4. Ensure that Auto-Expunge off – Wait for the client to update the server is enabled.

  5. Click Immediately delete the message forever.

  6. Open the Google Workspace administration configuration page

  7. From the left pane, select Apps > Google Workspace > Gmail

  8. Scroll all the way down to Routing and click on Routing

  9. Select your Organization from the Organization Unit

  10. From the right pane, click on Configure that is adjacent to Routing

    • Provide a Routing name

    • Under 1. Emails messages to affect, select the required checkboxes

    • Under 2. For the above types of messages, do the following, check Add more recipients

      • Click on Add

      • In the Recipient address: text box add the journal mailbox address

      • Once done, click on Save

    • Click on Show options

    • Under B. Account types to affect, select the required account types

    • Click on Save

Configuring GFI Archiver

Configure GFI Archiver to access and download emails from the Google Workspace journal mailbox using IMAP.

To configure the GFI Archiver to connect the Google Workspace journal mailbox:

  1. Login to the GFI Archiver web interface using administrative credentials.

  2. Navigate to Configuration > Archiving Method.

  3. Click Configure Archiving Method.

  4. Check Auto-archiving (journaling).

  5. Select one of the available options:

    Option Description
    All Emails Archives all emails that reach the journal mailbox.
    Rule-Based Archiving Several Archiving Rules can be set up to determine what emails are archived. Rules are created based on different criteria, and GFI Archiver applies each rule against incoming and outgoing emails that match configured rules. If a rule is matched, the email is archived. For more information, refer to Adding Archiving Rules.
  6. Click Save.

  7. Navigate to Configuration > Mail Servers to Archive.

  8. Click Add.

  9. Check Manually enter journal mailbox details and click Next.

  10. Enter the requested information:

    Option Description
    Mail Server

    Shows the detected name of the mail server where the Journal Mailbox is located. Enter the name manually if no server was detected automatically.

    Connect using Defines the connection method used to connect to the Mail Server where the new Journal Mailbox will be created. Select IMAP - Available only if GFI Archiver is not installed on the same machine as Microsoft® Exchange Server.
    IMAP Port Default is set to 143. If SSL is not enabled, the connection will be unencrypted.
    Use SSL Click to use SSL and enforce encryption. IMAP Port number automatically changes to 993. Google Workspace require SSL. So, this feature is not optional.
    Login/Password

    Use the email address set in the Google Workspace for the journaling account as log in. It is advisable to use the password set never to expire.

    Folder

    Defines the default folder that is used to journal emails.

    Default value: Inbox.

  11. Click Finish.

Please note that:

  • GFI Archiver requires Active Directory/GFI Directory as indicated in the installation note at the bottom of the manual page. The Display name and E-mail fields in Active Directory or GFI Directory need to have valid data.
  • Mailbox Folder Structure Retrieval is designed to work with Exchange Servers.
