PROBLEM
The Mailbox Folder Structure Retrieval does not seem to be working or is synchronizing very slowly.
Upon further investigation, you notice that the following files are growing large in size:
- ..\GFI\Archiver\Core\UMPolling\Fail\failedNew.log
- ..\GFI\Archiver\Core\UMPolling\Queue\MARCEMQUEUE.FDB
Example scenario:
- On 1 January 2015, Microsoft Exchange holds 1mio emails in total for all users
- Archiver is installed on 1 January 2015, journaling is enabled and new emails are getting archived
- The 1mio historical emails are not imported into Archiver
- The Mailbox Folder Structure Retrieval feature is enabled
- The feature would scan through all 1mio emails in Microsoft Exchange, these entries will not be processed efficiently as the emails are not present in Archiver
ENVIRONMENT
- GFI Archiver
- Microsoft Exchange or Microsoft 365 (previously known as Office 365)
- Historical emails have not been imported into GFI Archiver
SOLUTION
- Disable the folder structure synchronization feature
- Import old emails from Microsoft Exchange / Microsoft 365 for all users for which emails are getting archived using the Import Export Tool
- Once the import is complete, stop the GFI Archiver services
- Open the folder ..\GFI\Archiver\Core\UMPolling
- Delete all files and subfolders
- Start the services again
- Enable the folder structure synchronization feature again
- Wait at least 48 hours
- Then start to monitor if emails synchronize again
CAUSE
The failednew.log file records the archived emails which have been found in the Exchange mailboxes but do not have a match with the emails in the GFI Archiver databases.
If GFI Archiver finds a high amount of emails in the Microsoft Exchange / Microsoft 365 mailboxes without a copy in the GFI Archiver archive stores it will negatively affect the folder structure synchronization feature. This is because if the queue database (MARCEMQUEUE.FDB) grows very large, it will clog up with entries that can never be successfully synchronized. This usually occurs if you enable the folder structure synchronization feature before you import older emails from the mail system.
