Overview
After enabling the Folder Structure Retrieval the mail will be synchronized to the same folder structure as found within Exchange with the following caveats.
Introduction
Mailbox Folder Structure Retrieval is a feature in GFI Archiver that allows the folder structure in Microsoft Exchange to be continuously replicated to the archived emails in GFI Archiver. Without Mailbox Folder Structure Retrieval enabled, the emails will show in the Inbox or Sent items in GFI Archiver.
Description
The Mailbox Folder Structure Retrieval process works separately from the archiving process so the original emails must exist in Microsoft Exchange for the process to work. Mailbox Folder Structure Retrieval works by scanning the emails in the licensed users mailboxes in Microsoft Exchange and then trying to find a match in the GFI Archiver archive stores. When an email match is found between Microsoft Exchange and GFI Archiver, the folder will be updated in the archive store and thus the GFI Archiver interface. As such, if a customer is importing old mails from years ago to be found in GFI Archiver, folder structure will not be synchronized as the emails no longer exist in Exchange to be found in their original location.
The Mailbox Folder Structure Retrieval process is asynchronous. A delay is normal between moving an email in Microsoft Exchange, this being reflected within GFI Archiver.
If a user moves a message to another folder, the Mailbox Folder Structure Retrieval process will update with the new location. With the exception of the Delete Items and the Junk E-Mail folders as these are excluded by default.
If an email is deleted from the user's Microsoft Exchange mailbox, it will remain in GFI Archiver in the last known folder location.
If a user copies a message into multiple folders in Microsoft Exchange, the message will only appear in one folder in GFI Archiver; the Mailbox Folder Structure Retrieval feature only assigns a single folder to an email.
In mixed or hybrid environments (for example in which mailboxes reside on Exchange Online/365 and Exchange 2010), Mailbox Folder Structure Retrieval cannot work correctly against all mailboxes. Folder Structure Retrieval settings allow you to connect to only one Exchange server only at a time.
