Overview
When using GFI Archiver with a Microsoft 365 mailbox (previously known as Microsoft Office 365), we recommend disabling the Anti-Spam protection for the journaling mailbox to ensure that the Junk Email folder does not consume space.
Solution
Junk email filtering is handled by special anti-spam policies preconfigured in the Exchange Online portal as part of the M365 general defense mechanism. These policies can be bypassed using a specialized mail flow rule in M365 that excludes the emails from spam filtering when they are received/sent within your organization and ensures that all emails received in your journal mailbox are sent to the inbox folder.
To resolve this issue, you can configure the "Bypass spam filtering" mail flow rule in your organization specifying your journal mailbox as the recipient in the mail flow rule, as explained in the video file attached to this article. You can also find out more information about this in the Microsoft article Use mail flow rules to set the spam confidence level (SCL) in messages in Exchange Online.
If you have emails already in the junk folder of your journal mailbox, you can safely move them to the inbox folder without reading the emails and they will be archived accordingly. If you have read any of them, please mark them as unread before moving them.
